This Privacy Policy explains how Square Connect Group ("we", "us", or "our") collects, holds, uses, and safeguards personal information through the TabKey Roster Solution platform (tkrostersolution.squareconnectgroup.com), its mobile applications, and connected tablet kiosk terminals. We adhere to the Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs), and employer record-keeping standards under the Fair Work Act 2009 (Cth).
1. Personal Information We Collect
We collect only information reasonably necessary for roster scheduling, shift attendance, award compliance, and payroll export:
- Identity & Contact Records: Full legal name, mobile phone number, and work/personal email address.
- Date of Birth: Required exclusively to verify statutory junior wage tiers under the Fast Food Industry Award 2020 (MA000003) or relevant modern industry awards.
- Workplace Attendance Logs: Shift punch times (clock-in, meal breaks, clock-out), assigned departments, store kiosk 4-digit PIN authentication records, and leave or swap requests.
- Shift Location Verification: Instantaneous GPS coordinates checked momentarily when initiating a mobile clock-in to verify presence within the designated 100-meter store boundary. Background GPS tracking is never monitored or saved.
2. Purpose of Collection and Operational Use
Personal information is processed exclusively for workplace management purposes:
- Building, publishing, and dispatching weekly store rosters to employee mobile devices.
- Verifying actual worked hours, calculating mandatory meal break deductions, and auditing rest periods between shifts.
- Fulfilling employer record-keeping compliance under the Fair Work Regulations 2009 (requiring 7 years of record retention).
- Transferring verified timesheet summaries to employer payroll systems (e.g., Xero) to generate accurate pay slips and wages.
We do not sell, rent, or trade employee or user personal information to marketing brokers or commercial third parties.
3. Third-Party Technical Sub-Processors
To deliver cloud synchronization and notifications, TabKey Roster Solution engages technical sub-processors under strict security protocols:
- Cloud Database & Authentication (Supabase / AWS): Encrypted cloud database infrastructure securing employee records at rest and in transit via HTTPS/TLS.
- Push Notification Gateways (OneSignal): Used solely to route shift alerts and published roster notices to employee mobile devices.
- Transactional Email Services: Transactional mail scripts used to dispatch shift schedules, PDFs, and store notices directly to employee email addresses.
- Payroll Bridge (e.g., Xero Payroll): Direct transfer of approved hours and pay category data to authorized employer payroll systems.
4. Data Security and Access Controls
We implement role-based access control (RBAC). General staff members can only view their own shifts, personal availability, and assigned checklists. Non-management employees cannot view peer pay rates, dates of birth, contact numbers, or store financial metrics.
5. Access, Correction, and Privacy Inquiries
Under Australian Privacy Principles 12 and 13, individuals have the right to request access to the personal data held about them in TabKey Roster Solution and request correction of inaccurate records.
